# Import topics and prompts

> Add or update many topics and prompts at once from a CSV file.

If you already keep a list of buyer questions in a spreadsheet, you can load it into Echod in one go instead of adding prompts one by one.

## Prepare the file

Click **Import** on the **Topics** or **Prompts** page, then **Download the template** to get a starting file. It uses these columns:

| Column | Required | What to put in it |
| - | - | - |
| `topic` | Yes | The topic name. Rows with the same topic are grouped together. A new name creates a new topic. |
| `prompt` | No | The prompt text. Leave it empty to create a topic without prompts. |
| `macroIntent` | No | One of `Informational`, `Navigational`, `Commercial`, `Transactional`, `Local`. |
| `specificIntent` | No | One of `Comparison`, `Alternative`, `Review`, `Recommendation`, `Pricing`, `Purchase`, `HowTo`, `Troubleshooting`, `Guide`, `Local`. |
| `tags` | No | One or more tags, separated by semicolons, for example `beginner;priority`. |

A short example:

```csv theme={null}
topic,prompt,macroIntent,specificIntent,tags
email marketing for ecommerce,Which email tools integrate best with Shopify?,Commercial,Comparison,non-branded
email marketing for ecommerce,How do I set up an abandoned cart email?,Informational,HowTo,
newsletter software,,,,
```

The file can have up to 300 rows and be up to 3 MB. Save it as CSV (comma-separated) from your spreadsheet tool.

See [Prompts](https://docs.echod.ai/setup/prompts.md#intent) for what each intent means.

## Import it

**1. Choose the file**

Drop the CSV into the import dialog or click **choose a file**, then click **Check file**.

If some cells cannot be read, Echod lists them with the line numbers from your file. Fix them in your spreadsheet, save again and choose the file again.

**2. Review the preview**

Before anything changes, Echod shows what the import will do:

* **New topics** that will be created
* **Prompts to add**
* **Prompts to update**
* **Rows skipped**, which will not be imported

A capacity bar shows how many tracked prompts the file adds compared with your plan's allowance. If the file holds more new prompts than your plan has room for, the preview tells you how many will be imported and how many will be left out.

**3. Confirm**

Confirm the import. When it finishes, Echod shows a summary and links to the prompts that were added. New prompts are included from the next crawl.

## How existing prompts are treated

When a row matches a prompt that already exists in the same topic, Echod updates that prompt's intent and tags with the values from the file. It never changes a prompt's status: archived prompts stay archived and active prompts stay active.

> [!TIP]
>
> Importing is a quick way to re-tag or re-classify many existing prompts: list them with their topic and the new intent or tags, and import the file.
